For construction companies

AI for Construction: Bids, RFIs, Daily Logs and Change Orders

AI for construction is most useful in the office, not on the lift. For a general contractor or remodeler, that means sorting bid invitations, keeping RFI and submittal logs current, turning site photos and voice notes into daily reports, and drafting change orders before the work starts. Takeoffs, engineering and code calls stay with your people.

What it does

What can AI do for a contractor's office?

It handles the paperwork that piles up between the job site and the owner. These are the jobs most small GCs and remodelers fall behind on:

Bid invitations

You ask
“Which of this week's bid invites fit our trade and size?”
You get back
A short list with due dates, scope and the walkthrough date, ranked by fit

RFIs and submittals

You ask
“Log this RFI and tell me what's overdue”
You get back
An updated log with who owes what and a polite nudge for each late one

Daily reports

You ask
“Here are today's photos and my voice memo”
You get back
A dated daily log: crew, work done, deliveries, delays, weather, photos attached

Change orders

You ask
“Owner wants the kitchen wall moved, write it up”
You get back
A change-order draft with scope, price lines from your numbers and a schedule note

Lien waivers

You ask
“Who still owes us a waiver for the last draw?”
You get back
A per-sub list of missing waivers and the reminder to send

Pay applications and collections build on the same records. See invoices and pay apps.

Day one

What does that look like in a real week?

Three requests in a row on a Friday afternoon:

  1. Turn this week's photos and voice memos from the Elm Street job into daily logs.
  2. Pull out anything that sounds like a delay or extra work.
  3. Draft the owner update and a change order for the extra framing.

You get five daily logs, a list of two possible delays, one owner email and one change-order draft. Each waits for you to check the numbers before anything is sent. The logs stay in one place, which is what you want when a dispute comes up in month nine.

What should a contractor not hand to AI?

Paperwork goes to AI. Anything you'd stamp, measure or warranty stays with you.

  • Quantity takeoffs to the unit. AI can read a plan set and summarise the scope. It should not be your count of studs, yards or fixtures. Use your estimating tool and your estimator.
  • Structural, code and safety calls. Engineers, inspectors and your superintendent decide those.
  • Pricing you haven't checked. A change order is a contract. The AI fills in your numbers, and you confirm them.
  • Project-management software you already use well. If Procore or Buildertrend runs your jobs, keep it. Bento writes from what those tools export.

How does Bento fit with the tools a builder already uses?

Bento works next to your job-management software, email and accounting. It reads what you already have: bid emails, plan PDFs, site photos, voice memos, spreadsheet exports from your project tool, your QuickBooks exports. From those it writes the logs, lists, updates and change orders above.

It works in Gmail, Slack, Notion and thousands of other apps. It can run things on a schedule, like a Friday overdue-RFI check. Nothing goes to an owner or a sub without your approval unless you tell it otherwise.

It's one subscription for every kind of AI. That covers writing and summarising, plus a cleaned-up progress photo set or a short walkthrough video for a happy client. Plans start at $20 a month, the whole office and crew leads are included at no extra cost per person, and there's a 7-day free trial. See every plan.

It is not estimating software, scheduling software or a replacement for your superintendent.

FAQ

Questions construction ask first.

Can AI do construction takeoffs?

It can read drawings and summarise scope, which helps when you're deciding whether to bid. It isn't reliable enough for a priced takeoff, so use a dedicated takeoff tool and check every count.

Can it read plan sets and specs?

Yes, as PDFs. Ask it for the scope, the spec sections that apply to your trade, and the alternates. Treat its summary as a reading aid, not a replacement for reading the specs before you sign.

My crews don't use laptops. Does this still work?

Yes. A photo and a 30-second voice memo from a phone is enough for a daily log. The office reviews it instead of retyping it.

Does it work with Procore or Buildertrend?

It works with what they export and email, and with the apps you connect. Start with exports and email, and add a direct connection where one exists and you need it.
